ORGANIZER CHECKLIST
Some things to keep in mind for the big day, please familiarize yourself with the following:
-
Please keep us in touch with how registration is going, this will help us plan more effectively and make for a smoother tournament. It will help us with staff scheduling, inventory, and power cart rentals to name a few.
-
Please let us know your meal selection at least 4 weeks in advance.
-
Please have final numbers to us 10 days in advance.
-
Tournaments vary, but we budget about 5 hours for pace of play. Participants may be asked to speed up if play is taking longer.
-
Groups are expected to play as foursomes unless approved beforehand. For example, eightsomes usually take at least an hour longer to play 18 holes.
-
Any damage to carts or property is the responsibility of the tournament host (you). Alternatively, we can have the participants each check in with their credit card info, then they are each responsible for themselves.
-
Typical banquet dinner is served about 5.5 hours after the tee time unless otherwise arranged. We will monitor the pace of play and may start serving dinner once most but not all participants are in the banquet room. This can be modified upon request in advance.
-
Please provide the list of groups 1-2 days in advance so that we may assign starting holes if not done by yourself and assign carts.
-
Please provide any requests for tables/chairs/hole contests that are to be placed on the course at least 1-2 days in advance and we will take care of that.
-
As the tournament host, please plan on arriving at the course at least 2 hours in advance of the tee time or more if you have other duties such as prize/sponsorship sign setup duties.
-
Try to delegate the day-of duties such as silent auction, sponsor signs, goodie bags, registration table, etc as you will find yourself busy with other things that may come up!
-
If participants pay for this tournament, we suggest trying to collect payment before the day of the tournament. This makes your job a lot easier!
-
Our course is typically playable with carts at any time and can handle some extra rain without a problem due to our sandy soil profile. In the case of weather that makes the course unplayable we will let you know and either arrange an alternative date or cancel the event with a full refund.
-
Only liquor purchased and served by our staff is allowed on the course as per LGCA.
-
We only have enough ice on hand for our own use, so if you need ice, please bring some with you.
-
If there is a hole-in-one contest, please familiarize yourself with the rules from the insurance company and provide us with the hole number(s) and minimum required distances for men and women. If spotters are required, it is your responsibility to arrange for volunteers.
-
If you would like help in making rules or any other aspect of organizing the tournament, we are happy to help, just let us know!
-
We do not have a lightning/inclement weather siren. It is up to participants to come in off the course if conditions are unsafe. Please make your participants aware of this in your communications to them.
